Workforce management for owners, regional leads and club managers in multi-location gyms & franchise groups

Turn shift schedules into labor budgets

Every shift spends money. Arca shows you the cost before you commit it, so your labor line is a decision, not a discovery.

Arca keeps your schedule from leaking money

Fill the 5am opener in minutes, not calls

Arca ranks everyone who can take it and offers the shift to all of them at once. The first to claim it closes the gap — your own team, at your rate, without a phone call.

See the overtime before you pay it

Flagged the moment you assign, while the hours are still a decision — not in next month’s variance report.

Every class covered by someone certified for it

Certifications and renewal dates sit on the profile, so a shift is only ever offered to someone qualified to work it.

How it works

One system, from the roster to the floor

Who works there and what they cost. Who's covering Thursday. Which club is short before it opens. The things Arca does, and what each one saves you.

Rate, certifications, renewal dates and which clubs they can work, on one profile built from the file you already have. Get the rates right once, and every number Arca shows you is right.

SmartOps

No more calling down the list. Arca finds the gap, ranks who can cover it, and asks them all in one message. Nothing moves until you send it, or a worker says yes.

SmartOps

SmartOps is $49 per location per month, and on for the whole 30-day free trial.

Arca AIThe intelligence underneath

It reads your whole operation. Your rotations and shifts, what people are paid, your attendance data, what a week actually cost. It is there to help you decide, not just to move shifts.

It never invents a number. Coverage, hours and cost are calculated from your own data — the same answer every time you ask.

Expert on multi-location gyms. Peak hours, class grids, CPT and group-fitness certifications, floor versus studio.

If the answer is not here, ask someone on the team directly.

Arca runs the schedule for your clubs. It holds your master rotation and class grid, builds the weekly schedule from them, and keeps track of who is actually covering what.

The part people notice first is the 5am call-off. Instead of working down a phone list, you see everyone who can take the shift with their hours and overtime beside their name — and your own team can claim it from their phones before you make a call.

It also keeps each club’s staffing against your busiest hours in front of you, so a short Thursday is something you find on Tuesday.

The spreadsheet or whiteboard master schedule, the group chat, and the round of calls your club manager makes every time someone calls off.

It does not replace payroll or your member management system — it sits alongside them. Arca decides who works when; payroll still prices it.

Most clubs are running the same day. You upload your master schedule, class grid and roster in whatever format they are already in — a spreadsheet, a PDF, even a photo of the board in the back office — and Arca reads them and builds the club for you to check.

You can do the whole thing yourself. If you would rather not, ask and our team will sit with you and get it set up.

$20–$89 per location per month. It is priced per club rather than per person, so a seasonal hire does not change the bill and opening a club is one more location.

30-day free trial, and you can start with one club and roll out from there.

It changes a published week when a person says yes, and not before. Every finding arrives as what is wrong plus what would fix it, and you either apply it or send the worker a message and wait for their answer.

You can tell it to take the first worker who replies yes to a cover request, and that is the one place a change lands without you pressing anything — it lands because the worker agreed, to a request you sent. A move to a different day always needs that worker to accept it first.

Every one of those changes is recorded against whoever asked for it, and every one can be reverted.

Yes. Every change to a shift — created, assigned, moved, called off, undone — is logged with who did it and when, and any of it can be reverted.

So if a Saturday looks wrong, you can open it up and see the shifts behind it and every change made to them.

Yes. Nothing about the schedule depends on it. Your club manager keeps assigning exactly as they do today, and the schedule is right whether or not a single person ever opens the app.

What you give up is the part that saves the phone calls — staff seeing open shifts and class covers and picking them up themselves. That side is deliberately tiny: see your schedule, claim a shift. There is not much to adopt.

It is yours. Schedules, roster, hours and the full history — ask at any point, including after you cancel, and we will get it to you.

Everything sits under one organization and narrows from there. A club manager sees their club. A scheduler sees the areas they run. A team member sees their own schedule and the open shifts they are qualified for, and nothing else.

Every change to a shift carries the name of whoever made it. Nothing is edited quietly.
